How to hire AI employees for your care facility

An AI Employee is a persona-based Claude Cowork project: a system prompt that defines the role, a knowledge base, a weekly cadence, and a KPI it reports against. Each one occupies a chair on your team that a part-time contractor would otherwise fill. CareMAR maintains fourteen documented roles covering marketing, sales, partnerships, compliance, finance, and operations. All fourteen are scheduled to ship in Q3 2026.

What is an AI Employee?

A persona-based Claude Cowork project. It has a job description (the system prompt), a workspace (the Cowork project), an inbox (uploaded knowledge base and weekly source files), a weekly review (the cadence trigger), and a few KPIs (what it is measured against). It runs in a browser. You do not need to install anything.

Frequently asked questions

What is an AI Employee?
An AI Employee is a persona-based Claude Cowork project — a system prompt that defines the role, a knowledge base of source documents, a weekly cadence (when it runs), and a small set of KPIs it is measured against. It runs in the browser inside Anthropic's Cowork (Projects) workspace. Think of it as a job description plus a workspace, not a chatbot.
How is an AI Employee different from an AI Skill?
A skill is a one-shot function (a slash command that produces a deterministic output). An employee is an ongoing role that uses multiple skills plus its own judgement, runs on a weekly cadence, and accumulates context over time in its knowledge base. The CMO employee, for instance, invokes the CMO Brief skill, the Data Pulse skill, and the Founder Brief skill — all in one Friday session.
How do you hire an AI Employee?
Pick the role from the catalog above, book a discovery call, and we configure the Cowork project in your Anthropic workspace: system prompt, uploaded knowledge base, weekly recurring task, KPI dashboard. Setup runs $1,500-$3,500 depending on the role; monthly operation is $300-$800 in Claude API spend plus a retainer if you want us to tune and run it weekly. You can also self-operate after handoff.
Can an AI Employee replace a human hire?
Replace, no. Replace the recurring weekly work of a human contractor, yes. A part-time fractional CMO might cost $5,000-$8,000/month and write you a brief every other Friday. An AI CMO writes the same brief every Friday for $300/month and never misses a week. Humans remain in the loop for judgement calls, relationships, and anything that requires being in a room.
Which employee should I hire first?
The one whose work currently leaks. If you do not have a weekly marketing brief, hire the CMO. If your inbox is the bottleneck, hire the Secretary. If you keep skipping social posts, hire the Social Manager. The point of the first hire is to remove the recurring weekly task that you currently do badly because you do not have time — not to add a new capability you have never had.
Are AI Employees HIPAA-safe?
Yes when scoped correctly. The CMO, SEO Specialist, Content Writer, Social Manager, Head of Creative, and Head of Partnerships never touch PHI. The Customer Success and Legal Compliance employees work with de-identified summaries only. Any employee that could approach resident data is reviewed by the Legal Compliance employee before its first run. Claude's enterprise BAA is in place for any account that handles PHI.
